For municipalities, associations and clubs

Booking system for free equipment lending – self-service

Hudiksvall Municipality's lending container for recycling bins, with the sign 'Låna behållare för sortering på event!'

Rentalbuddy lets municipalities, associations and sports clubs lend out kayaks, paddleboards and outdoor gear, event kits, cargo bikes or skis with nobody on site. Switch online payment off, and borrowers book, accept your terms and get their own PIN code without paying – you don't need a Stripe account for that. The code opens the container, shed or lending locker only around their loan, and every booking shows who borrowed what.

In Hudiksvall, event organisers book the municipality's recycling bins online and collect them from a container with their own code. One lending point with up to 6 locks is Starter: 299 SEK a month excl. VAT, plus Igloohome's code fee and the locks.

How it works

How self-service lending works

Rentalbuddy's booking software for free lending handles the booking, your terms and the lock code, so nobody has to hand out keys.

  1. Borrowers book and accept your rules

They pick what to borrow and when, accept your terms – for example that they're 18 or over – and can sign your loan agreement on their phone. No account and no BankID; ask for an organisation, event or phone number if you need it.

  2. Their own code opens the lock

The button in their confirmation email opens their unlock page, where the code appears 15 minutes before the start – it's never sent by email or text message. It opens the container, shed or cabinet only around their loan.

  3. They bring it back and confirm

Borrowers put everything back, lock up and confirm the return on their unlock page, with a photo if you ask for one. A break between loans gives you time to check what comes back.

Free, for members, or with a paid extra

  • Free for everyone

Switch online payment off. Nothing is charged, so there are no payment fees either, and you don't need a Stripe account.

  • Free for members, paid for everyone else

Keep online payment on and add your teams or members – import a CSV list (email, end date, discount) or let them buy a membership in the booking window – with 100% off their bookings. For a one-off free loan, give a discount code of up to 100%.

  • A free loan with a paid extra

Hudiksvall Municipality lends recycling bins to event organisers for free, and organisers who also need the waste collected add that for 850 SEK in the same booking.

For your manager and procurement

What a decision usually needs, in one place:

  • Cost: about 4,400 SEK a year excl. VAT for one lending point with 6 items, each with its own lock – Starter paid yearly plus Igloohome's code fee – far below the limit for a direct award in Swedish public procurement. Nothing is charged per loan. The locks, which Igloohome's EU shop lists at about €160 each (October 2026), are bought once.
  • Agreement: no minimum term and no notice period. Cancel in the admin whenever you like; everything keeps working until the end of the period you've paid for.
  • Payment: we can invoice the plan instead of charging a card – ask us before you subscribe. Igloohome bills its code fee itself, to the payment method in your Igloo Connect account.
  • Personal data: you are the controller and Rentalbuddy your processor, and we sign a data processing agreement with you on request.
  • Supplier: Rentalbuddy AB, org. no. 559168-6836, Malmö, Sweden – support by phone and email in English or Swedish, 8:00–17:00 CET/CEST.

FAQ

Questions about free lending

Can a municipality, association or club lend out equipment for free, and what does it cost?

Yes. Switch online payment off, and borrowers book, accept your terms and get their own PIN code without paying – you don't need a Stripe account for that. One lending point with up to 6 locks – each item borrowers book, plus each shared door – is Starter: 299 SEK a month excl. VAT, plus Igloohome's code fee and the locks.

Hudiksvall Municipality lends recycling bins to event organisers this way, and the municipality's own page (in Swedish) sends organisers straight to its Rentalbuddy booking page. What a year costs

Can a municipality lend kayaks and paddleboards to residents for free?

Yes – from a locked rack, a box or a container by the beach, with life jackets and paddles in the same box (three ways to lock it). Before the code appears, borrowers accept your terms – for example that they're 18 or over, wear a life jacket and stay near the shore – and watch your short safety video; the code only shows once they have. Set the longest a loan may last, for example four hours, and a break between loans. If the weather turns, cancel the bookings yourself – borrowers contact you, not us, so put your phone number in the confirmation email.

An example: 6 kayaks and 4 paddleboards in one container with one lock on its door are 11 locks on your plan – Growth, 599 + 3 × 120 = 959 SEK a month excl. VAT, or about 9,800 SEK a year paid yearly, with Igloohome's code fee for the door lock included. Switch the kayaks off in winter and the skis on: locks that are switched off don't count toward your plan.

What does a year of self-service lending cost?

About 4,400 SEK a year for one lending point with 6 items, each with its own lock, paid yearly – 2,976 SEK for Starter and about 1,440 SEK in Igloohome code fees – with nothing per loan. The locks, bought once, come on top. All prices exclude VAT.

  • Starter, one lending point with up to 6 locks: 299 SEK a month, or 2,976 SEK a year paid yearly – 3,720 SEK incl. VAT for an association that can't reclaim VAT.
  • Growth, two or more lending points, such as a few schools or sports grounds: 599 SEK a month with 8 locks included, then 120 SEK a month per extra lock – 3 lending points with 10 locks come to 839 SEK a month. There's no limit on lending points.
  • On top: Igloohome's code fee of about 20 SEK per lock a month, which Igloohome bills to the payment method you add in its Igloo Connect account, and the locks, which you buy once.

Can we lend from one container or storeroom?

Yes – put one Igloohome lock on its door. Each kit borrowers book still counts as a lock on your plan, and so does the door – 5 event kits in one container are 6 locks, still Starter. But Igloohome's code fee is for the one lock on the door only, so a year comes to about 3,200 SEK. A borrower's code opens the whole container around their booking, so ask for a photo at return. Lending lots of small things? Bundle them into kits – Hudiksvall lends its bins in sets of eight – so each kit is one booking.

Can we see who borrowed what – and report it?

Yes. Borrowers need no account and no BankID. Ask for what you need when they book – organisation, event or phone number – and every booking shows who borrowed what, when, and when they opened their unlock page. Your statistics show the number of bookings and the average loan length for any period, for one lending point or all, and you can export every booking as a CSV file for your board, council or grant giver.

How are borrowers' personal data handled?

You are the controller and Rentalbuddy your processor – we sign a data processing agreement with you on request. Borrowers give their name, email and phone number, plus only what you ask for yourself, such as an organisation or an address; an ID photo is optional. Lend for free, and Stripe isn't involved at all. Igloohome, which makes the codes, receives only the lock's id and the code's start and end time – never the borrower's name or contact details. Ask us about storage, sub-processors and deletion when you request the agreement.

Can we set lending rules – and lend only to residents or members?

Yes. Set the longest a loan may last – for example a weekend or two weeks – and a break between loans to check what comes back. Before the code appears, borrowers accept your terms (for example that they're 18 or over) and can sign your loan agreement on their phone. Addresses aren't checked, so if you lend only to residents or registered clubs, ask for an address or organisation number when they book, and cancel a booking that doesn't meet your rules.

How is it different from a ready-made activity box or a staffed equipment library?

A ready-made activity box comes with its lockers, equipment and app; Rentalbuddy is the booking and the codes for the lockers, sheds and gear you already have. Piffl, for example, has over 190 activity boxes in more than 50 municipalities, with a yearly operating cost of around €2,500–3,500 per box, and users open them through Piffl's app (Interreg Europe, August 2025). With Rentalbuddy you use your own container, shed, lending locker or rack and your own outdoor gear, borrowers need no app, and a year costs about 4,400 SEK for 6 items plus the locks. Run a staffed equipment library? Let a lending locker take the evenings and weekends when it's closed.

Can a municipality or association pay by invoice?

Yes, for Rentalbuddy – ask us for a quote. Igloohome bills its code fee itself, to the payment method you add in its Igloo Connect account; if your organisation can only pay by invoice, ask us before you buy locks. Already book halls and pitches in another system? Keep it for those, and use Rentalbuddy for the equipment you lend out.
