Booking system

Self-service rental software: every booking system feature

Rentalbuddy is a booking system for self-service and unmanned rental. Customers book and pay online, and every booking gets its own PIN code for your code lock – an Igloohome padlock or key box – made automatically and shown 15 minutes before the start on their unlock page, which the button in their confirmation email opens.

Below is everything it does, for saunas, trailers, kayaks, boats, campsites, skis, bikes, courts and rooms. Starter and Growth have the same features – from 299 SEK a month excl. VAT, with no commission.

One system for you and your customers

What the booking system does for each rental type

Every rental type gets every feature. These are the ones each kind of rental uses most – the full story is on its own page.

A skier at Kläppen's unmanned ski rental rack, where every numbered pair of skis has its own code padlock

Skis, bikes, courts and rooms

Rent out ski and snowboard sets by size, bikes and e-bikes by the day, or courts, club houses and meeting rooms by the hour. Each size, bike or court can be booked on its own, so nothing is booked twice, and every booking gets its own code for the padlock on the rack or gate, or for the key box that holds the room key. The locks run on batteries with no power or Wi-Fi, and Igloohome rates its padlock for down to −20 °C.

Features included in Starter and Growth

Rentalbuddy's booking calendar for one day at a lake station: kayaks, a canoe, SUPs and a sauna, each booking marked returned, picked up or not yet picked up

Phone, drop-in and online bookings in one calendar

Someone calls or drops in? Book it for them, and it lands in the same calendar as your online bookings. Mark it paid – in cash, by Swish or Vipps, or by invoice – or send them a payment link. Every booking, customer and payment for all your locations sits in one place.

Book like your customers do

This is the booking window your customers get on your website or booking page. Make a test booking at our example rental – a wood-fired sauna, a kayak, a boat or a trailer. Pick a time, add an extra and pay with the test card. No sign-up, and nothing is charged.

At checkout, use our test card:

Card number 4242 4242 4242 4242 – that's 4242 four times – any future expiry date and any three-digit CVC.

Liked it? Your customers can book like this on your own website – the booking button works on Wix, WordPress and most other website builders, in your colours. Set yours up in the free trial and make test bookings before you buy a lock.

FAQ

Questions about the booking system

What should a booking system for self-service rental do?

Give every booking its own lock code, take payment up front and let renters accept your terms before the code appears – with nobody on site. In Rentalbuddy every booking gets a new Igloohome code that only works around the booked time, and renters pay online in advance into your own Stripe account. Before the code shows, you can also ask for a photo of their ID or licence and have them watch your safety video; afterwards they confirm the return, with a photo if you ask for one. The locks run on batteries with no Wi-Fi or power. It isn't a marketplace: renters book on your own website or booking page, with no app or account, and Rentalbuddy takes no commission – from 299 SEK a month excl. VAT.

What does a booking system for self-service rental cost?

Rentalbuddy costs from 299 SEK a month excl. VAT on Starter – one location with up to 6 locks – with no commission, setup fee or minimum term. More than 6 locks, or more than one location, is Growth: 599 SEK a month with 8 locks included, then 120 SEK a month per extra lock. On top come Stripe's fee per payment, Igloohome's code fee of about 20 SEK per lock a month and the locks, bought once – about €160 each in Igloohome's EU shop (October 2026). Every feature on this page is in both plans, and the first 30 days are free. Every cost

How do my customers pay?

Online when they book – by card, Apple Pay or Google Pay. You can switch on Klarna too, and Swish in Sweden or MobilePay in Denmark and Finland, paid on Stripe's payment page. The money goes to your own Stripe account and on to your bank a few days later; Rentalbuddy never holds it.

What happens if a renter's payment fails?

No money is taken and no code is issued – the booking expires. Stripe shows the reason in the payment form, and the renter can correct the card details, try another card or choose another payment method; the time they picked is held for about seven minutes while they pay. If they call you instead, book them in the admin and send a Stripe payment link from the booking, or register a payment you took yourself.

Which locks does it work with, and how are the codes made?

Igloohome padlocks and key boxes – usually the Padlock 2 and the Keybox 3 – which you buy once and pair to your own Igloohome account. Rentalbuddy makes each booking's code through Igloohome's Igloo Connect about 14 hours before the start, or straight away for a last-minute booking; if it can't, it keeps trying and warns you in the admin and by email. Moving or extending a booking updates its code. The lock checks the code on its own, with no internet or power, so codes already made keep working even if the mobile network is down. Other smart-lock brands aren't integrated, apart from Allockate's connected locker banks, but a lock with a fixed code can be added as a manual lock. About the digital locks

Where do my customers book, and do they need an app?

On your website or your own booking page – and no app is needed. Every location gets a booking page that Google can find, which you share as a link or a QR code. Have a website on Wix, WordPress or another website builder? Add the booking button, and customers book without leaving your site. The booking window carries your logo and colour. Customers book in the browser with no app and no account. Try the booking window yourself · Website or booking page?

Does Rentalbuddy sync with Airbnb, Booking.com or my accounting software?

No. Rentalbuddy doesn't sync with Airbnb, Booking.com or another booking system, or list your rentals on Viator or GetYourGuide – keep your current system for those, and book each item in only one system. There's no connection to accounting software, Zapier or a public API either: export your bookings as CSV instead. Everything Rentalbuddy doesn't do

Which languages and countries does it work in?

Customers book in 12 languages, and the admin comes in the same 12 – English, Swedish, Norwegian, Danish, Finnish, German, Dutch, French, Spanish, Portuguese, Italian and Croatian. Rentalbuddy works wherever Stripe accepts businesses from your country, in your own currency; rental businesses use it in Sweden, Norway, Switzerland, Germany and the UK, and in the US and Canada.
