Trailer rental software – Self-service trailer rental

Rentalbuddy is trailer rental software: a booking system for self-service trailer rental. Customers book and pay online – or scan the QR code on the trailer – and get their own PIN code for the Igloohome padlock on the trailer's hitch lock. No keys over the counter. Up to 6 trailers at one location – a store or hardware-store car park, a petrol station or a sports ground – cost 299 SEK a month excl. VAT, with no commission. Närsläp at two stores in Höganäs, Hyr Av Bröderna at stations across Östergötland and Dragkungen at three depots in Kungsbacka rent out their trailers this way, and Igloohome, the lock maker, names Rentalbuddy among the trailer hire platforms with a ready-made connection to its locks.

How it works

How self-service trailer rental works

Rentalbuddy's trailer rental platform handles the booking, the payment and the hitch-lock code – customers book in their phone's browser, with no app to download – so trailer hire runs with no keys over the counter. Starting from scratch? How to start a trailer rental business

  1. Customers book and pay online

They pick a trailer and a time on your booking page or website (or scan the QR code on the trailer), accept your terms, for example that they have the right licence for car plus trailer, and pay by card, Apple Pay or Google Pay. You can ask for the towing car's registration number and a photo of their driving licence, saved on the booking for you to look at.

  2. Their own code opens the hitch lock

The button in their confirmation email opens their unlock page, where the code appears 15 minutes before the start – it's never sent by email or text message. The code opens the Igloohome padlock on the trailer's hitch lock – also when the store is closed, if you let them book then.

  3. They bring it back and confirm

They park the trailer in its spot, put the hitch lock back on and press the padlock shut – it locks by itself – then confirm the return on their unlock page, with a photo if you ask for one. The code stops working soon after the booking ends.

Why Närsläp moved to Rentalbuddy

  • “We decided to move from our old booking system to Rentalbuddy as they are highly focused on self service rentals. The features that they develop have helped us get more control over the booking process without the need of being there.”

FAQ

Questions about self-service trailer rental

Can we rent out trailers from our store, hardware store or petrol station? What changes for the staff at the counter?

Yes – and keys and rental forms no longer go over the counter. Customers book, pay and open the trailer's hitch lock with their own code, also when the store is closed if you let them book then. Your staff look trailers over when they come back and help the odd renter who calls.

What your staff no longer do:

  • hand out and take back keys
  • take payment and fill in a rental agreement for every renter – renters do that online
  • keep a list of who has which trailer – one calendar shows which trailers are out, when each is due back and which have come back

What they still do:

  • look a trailer over when it's back – a break between bookings gives them time, and a margin if someone is late
  • move the next renter to another free trailer in the admin if one isn't back – that renter gets the code for that trailer instead
  • answer renters who call: the number in the confirmation is yours, so give one that someone answers, or set your opening hours so trailers are picked up and returned only when someone is there. A lost code can be read out from the booking.
  • book a customer at the counter, take payment at your own till and mark it paid

Each of them gets their own login, and booking staff can't make refunds. A trailer also brings people to your store: every renter comes by twice, to pick it up and to bring it back, and a trailer with your store's name and booking address on it is seen around town. Närsläp runs trailers outside two stores in Höganäs this way, and Hyr Av Bröderna at several locations. How Närsläp rents out trailers at ICA Höganäs

What does the store's IT and finance team need to do?

Very little: nothing is installed in your till system or store network, and the chain's website doesn't have to change. Rentalbuddy runs in the browser, and the padlocks run on batteries without Wi-Fi. The trailers get their own booking page, and the QR code on each trailer takes renters to it.

  • Payments: online payments go into a Stripe account in the store company's own name and on to the store's bank account – a payment is normally ready 3 business days after it's made. Customers who pay at the counter pay in your normal till, and staff mark the booking as paid.
  • Bookkeeping: Stripe lists every payment, fee and payout, bookings export as CSV, and the customer's confirmation email shows the VAT. There's no connection to accounting software.
  • Personal data: for renters' data – including any driving-licence photos you ask for – the store is the controller and Rentalbuddy the processor, and we sign a data processing agreement on request.
  • Our plan: can be invoiced instead of charged to a card – ask us before you subscribe. Igloohome charges its code fee to a card.

What does a booking system for trailer rental cost?

Rentalbuddy costs 299 SEK a month excl. VAT for up to 6 trailers at one location (Starter), with no commission and no limit on bookings. More than 6 trailers, or more than one location on one account, is Growth: 599 SEK a month with 8 locks included, then 120 SEK a month per extra lock. On top come Igloohome's code fee of about 20 SEK per lock a month, Stripe's fee on each payment and one Igloohome padlock per trailer – €159.99 for the Padlock 2 in Igloohome's EU shop (October 2026). Try it free for 30 days. Rentalbuddy works wherever Stripe accepts businesses from your country, in your own currency; rental businesses use it in Sweden, Norway, Switzerland, Germany and the UK, and in the US and Canada.

All plans and prices

How much should I charge to rent out a trailer?

Usually by time: about 150–250 SEK for a few hours and 300–500 SEK for a full day, depending on the trailer – and trailers rent out all year. Typical prices on Nordic rental businesses' public price lists (October 2026). Three that run on Rentalbuddy: Närsläp in Höganäs charges 149 SEK for up to 4 hours and 289 SEK for 24 hours for a mesh trailer, and 499 SEK for 24 hours for a moving trailer; Hyr Av Bröderna charges 169 SEK for 1–3 hours and 329 SEK for 7–24 hours for a mesh trailer; Dragkungen in Kungsbacka charges by the hour – 29 SEK an hour plus a 79 SEK start fee, at most 279 SEK a day, for a mesh trailer (narslap.se, hyravbroderna.se, dragkungen.se, October 2026). What could 3 trailers bring in?

Can I charge by the hour or the day – or lend trailers free to my store's customers?

Both. Charge by the hour, or set a price for one day, two days and so on up to 14 days, so longer rentals cost less per day – or sell only fixed lengths, such as a weekend. Bookings that start on dates you choose, such as Midsummer week, can cost more. To lend trailers free to customers who shop with you, give them a discount code at the till – up to 100% off, with an end date or a cap on how often it can be used – and everyone else pays your normal price. Sell straps, a cargo net or damage cover as extras in the same booking.

Can a sports club or a housing association rent out a trailer – or lend it to members for less?

Yes. Park the trailer on the club's or the association's own spot, and members and neighbours book, pay and open it with their own code – nobody hands out a key. To let members borrow it for less or for free while everyone else pays your normal price, give them a discount code (up to 100% off) or sell a membership that takes a set percentage off every booking made with the member's email address. Hyr Av Bröderna places trailers at sports clubs, community associations and companies in Östergötland and shares the income with them: the admin shows the revenue per location and exports the bookings as CSV, so the host's share is quick to work out. Lending it for free, with no payment at all? Switch online payment off, as for free lending.

How Hyr Av Bröderna works with clubs and associations

What do I need besides Rentalbuddy?

The trailers, a hitch lock that takes a padlock for each one (from a trailer or hardware shop) and one Igloohome padlock per trailer. The padlock runs on a rechargeable battery – up to about 9 months per charge – needs no power or Wi-Fi, and Igloohome rates it for −20 °C to 50 °C. A new unbraked 750 kg open trailer such as the Fogelsta FS1425 costs from about 14,000 SEK incl. VAT (PriceRunner, October 2026). Check that your insurance covers the trailers while they're rented out (more ), and keep up any inspection they need. You can start with one; we usually suggest three to five, in two models – an open trailer and a covered one – so customers can pick the one that fits the job.

Should our store run its own trailers or partner with a trailer network such as Freetrailer or Use4Free?

With Rentalbuddy the rental is yours: you buy or lease the trailers (Rentalbuddy doesn't supply them), put your store's name on them, set the prices and keep the income and the customers – who book on your own booking page, with no app to download, and come by twice, to pick the trailer up and to bring it back. The upkeep is yours too. A trailer network such as Freetrailer works differently: according to its partner pages, the store provides the parking space, customers borrow the trailers for free through Freetrailer's app, and Freetrailer handles the bookings, customer service, maintenance, payments and admin – the store gets the visits and its brand on the trailers. Use4Free, part of the trailer maker Brenderup Group, works the same way at BAUHAUS in Sweden: customers book, collect and return the trailer in the Use4Free app, which is also the key, and Use4Free handles the rental of BAUHAUS's trailers (both checked October 2026). Want the visits without running a rental yourself? Then a network may suit you better.

Many stores start with two or three trailers of their own. At about 3 bookings a week each at 250 SEK, three trailers could leave about 86,000 SEK a year after VAT, fees and the plan – an estimate, before your own costs. Buying three new open trailers and their padlocks comes to roughly 47,000 SEK incl. VAT, plus the hitch locks. When would they pay for themselves?  Add your insurance under running costs.

What if a trailer comes back late, damaged or not at all?

Move the next renter to another free trailer in the admin – they get that trailer's code instead. A trailer stays marked as picked up until its renter confirms the return, and every booking holds the renter's name, phone number and the towing car's registration number if you asked for it. A card deposit isn't possible: add a damage clause to your terms and a fixed damage-cover fee if you like, and charge afterwards with a payment link from the booking. What stops theft or damage · If one isn't returned

Which insurance do rental trailers need – and what if one isn't returned?

Ask your insurer for cover that includes renting out: private trailer insurance often doesn't. Moderna Försäkringar's trailer insurance, for example, doesn't apply to renting out or lending for payment (product sheet, checked October 2026). In your terms, say what the renter pays for damage they cause, and sell a fixed damage-cover fee as an extra if you like: Dragkungen offers three levels, from the cover included in the price, with an excess of up to 12,500 SEK, to 129 SEK for an excess of at most 1,500 SEK (dragkungen.se, October 2026). A card deposit isn't possible.

If a trailer isn't back, its booking stays marked as picked up. You have the renter's name and phone number, the towing car's registration and – if you required it – a photo of their driving licence, so call them first. If you can't reach them, report it to the police with those details and contact your insurer. Rentalbuddy doesn't track where a trailer is: fit a GPS tracker of your own if you want that. For the first months you can let renters pick up and return only during store hours.

Can renters return a trailer to another place?

No – each trailer belongs to one location, so it comes back where it was picked up; one-way rentals between locations aren't possible.
