Booking system for campsites, glamping and hotels – Sauna, kayaks and bikes guests book themselves

Rentalbuddy runs beside the system you already use for cabins, pitches and rooms – for what guests and day visitors book by the hour or the day. A sauna and 4 kayaks are 5 locks on Starter, 299 SEK a month excl. VAT; add 6 bikes and the 11 locks are Growth, 959 SEK – with no commission.

How it works

How guests book the sauna, kayaks and bikes

Rentalbuddy's booking software takes the sauna, bike and kayak hire off reception: guests book, pay and get their own code.

  1. Guests book before they arrive or on the spot

Put your booking link in the confirmation or welcome email you already send, and a QR code at reception and by each lock. A family books four bikes, or two kayaks, for the same time in one booking and pays once. Guests from abroad? The booking window comes in 12 languages, among them German, Danish, Dutch and Norwegian: guests pick theirs with the flag in the booking window, and it opens in their phone's language wherever it can.

  2. Their own code opens the lock

The button in their confirmation email opens their unlock page, where the code appears 15 minutes before the start – it's never sent by email or text message. It opens the key box by the sauna door, the padlock on the kayak rack or the bike shed – with nobody at reception.

  3. They put everything back and confirm

Guests lock up and confirm the return on their unlock page, with a photo if you ask for one, so you can clean and restock the sauna on rounds that suit you.

Costs – one example

What a campsite pays, and what it could leave you

A sauna, 4 kayaks and 6 bikes are 11 locks on your plan: Growth, 959 SEK a month excl. VAT (599 + 3 × 120), or 797 SEK a month billed yearly. The plan runs every month of the year, also while you're closed. On top come Stripe's fee per payment, Igloohome's code fee of about 20 SEK a month per lock you buy, and the locks, bought once – about €160 each in Igloohome's EU shop (October 2026): 11 if every item has its own, or 6 if the bikes stand in a shed with one lock on the door (the plan then counts 12 locks: 1,079 SEK a month).

Already have a padlock or key box with a fixed code? Add it as a manual lock and start with that – every guest gets the same code, shown on their unlock page – then switch to Igloohome locks one at a time.

Customer stories

Kayaks and canoes at campsites, booked in Rentalbuddy

Run the canoes and kayaks yourself beside your campsite system, like Camp Immeln – or let a local paddling business put its boats at your campsite, like Paddelkompaniet at Järnavik and Kollevik, or Marlow Boating at Hurley Riverside campsite on the Thames in England.

  • “Both the team behind Rentalbuddy and the platform itself have proven to be excellent. The booking system works smoothly and is continuously developed with new features that make life easier for us as renters, but also for our customers to book. Rentalbuddy's self-service solution has also allowed us to grow our business to several locations.”

  • “The campsites are fantastic examples of good collaboration, so-called win-win. The campsite owners want to offer activities to their guests, but they have limited time to manage them. They are usually located close to water, which makes paddling possible.”

Guests, day visitors and your own booking system

  • Your own guests

Make the cabin, room or pitch number a required question, so reception sees who booked what. Charge guests less, or include a sauna session in their package, with a promo code of up to 100% off. A guest who'd rather pay at check-out? Book it at reception, add it to their bill and mark it paid.

  • Day visitors

Day visitors book the same way, so the sauna earns on days your cabins stand empty and after reception has closed for the night. The Directions button in their confirmation leads them to your location's pin – put it at the sauna or your visitor parking.

  • Beside your campsite system

Your system for pitches, cabins and rooms stays as it is. Camp Immeln books pitches, cabins and glamping in its campsite system and canoes in Rentalbuddy. The two don't sync, so book each item in only one of them.

Try it yourself

Book the sauna like your guests do

This is the booking window your guests get on your website or booking page. Make a test booking at our example rental – a wood-fired sauna, a kayak, a boat or a trailer. Pick a time, add an extra and pay with the test card. No sign-up, and nothing is charged.

At checkout, use our test card:

Card number 4242 4242 4242 4242 – that's 4242 four times – any future expiry date and any three-digit CVC.

Liked it? Your guests can book like this on your own website – the booking button works on Wix, WordPress and most other website builders, in your colours. Set yours up in the free trial and make test bookings before you buy a lock.

FAQ

Questions from campsites, glamping sites and hotels

We run a campsite, glamping site, hotel or cabins. Can guests book the sauna, kayaks and bikes through Rentalbuddy?

Yes – Rentalbuddy runs beside the system you already use for cabins, pitches and rooms, for what guests and day visitors book by the hour or the day. Guests book the sauna, kayaks, SUPs, bikes or e-bikes, with battery-powered locks on the kayak rack or the bike stand and a key box by the sauna door, so there is nothing to wire up.

Why not sell it in your campsite system? If yours can sell the sauna as an extra but can't make a lock code for each booking, someone still has to hand over a key or give out one shared code. With Rentalbuddy every booking gets its own code that works only around its time, so guests and day visitors can book and get in after reception has closed. Already get door codes for your cabins from your campsite or hotel system? Then compare how it handles what guests book by the hour: with Rentalbuddy, day visitors who never check in can book and pay for a sauna session, someone passing by books from the QR code at the lock, each kayak or bike is booked on its own so you never sell more than you have, and a shared woodshed or bike shed gives every booking its own code too.

What does it cost for a whole campsite or hotel?

Your whole campsite or hotel can be one location on your plan: the sauna by the shore, the kayaks on the beach and the bikes at reception share one booking page. Each sauna, kayak or bike that guests book on its own counts as one lock. A sauna and 4 kayaks are 5 locks – Starter, 299 SEK a month excl. VAT, with room for one shared locker for paddles and life jackets. Add 6 bikes and the 11 locks need Growth: 599 + 3 × 120 = 959 SEK a month, or 797 SEK billed yearly – every month of the year, also while you're closed. No commission; on top come Stripe's fee per payment, Igloohome's code fee of about 20 SEK per lock a month and the locks, bought once – about €160 each in Igloohome's EU shop (October 2026). A padlock or key box you already have can start as a manual lock with a fixed code.

Everything at one location shares its opening hours, its pick-up and return times and the break between bookings. Kayaks that must be back before dark while the sauna stays open until 22:00? Give them a location of their own – a second location needs Growth, which has no limit on locations. What could a sauna, 4 kayaks and 6 bikes bring in?

Can the sauna be for our own guests only – or cheaper for them?

Both work, with one caveat: there's no guest login, so anyone with your booking link can book. Is the sauna for your own guests only? Make the cabin, room or pitch number a required question and cancel and refund any booking that doesn't match a guest. Or open it to day visitors at your full price, and give your guests a promo code for less – up to 100% off, with an end date and a cap on how many times it can be used, so it doesn't spread to day visitors.

How do day visitors get in after reception has closed?

The Directions button in their confirmation email leads them to your location's pin, so put it at the sauna or your visitor parking. Rentalbuddy doesn't open entrance barriers: if visitors must pass one, ask them in your confirmation text to park outside and walk in, or give them the barrier code there.

How do we lock bikes and e-bikes?

Lock each bike to the stand with a code padlock and a steel cable through the frame, or keep them in a bike shed with one Igloohome lock on the door. Every booking then gets its own code for the door, and Rentalbuddy still books each bike on its own, so you buy one lock instead of six. The trade-off: a guest's code opens the whole shed around their booking. 6 bikes and the shed door count as 7 locks on your plan, but Igloohome's code fee is only for the one lock on the door. Charging e-bikes between rentals? Leave a break after each booking, and keep the helmets in the same shed.

Can the sauna be heated before guests arrive?

Wood-fired, guests light the stove themselves; electric, Rentalbuddy can start a Harvia heater on a Fenix control panel before each paid booking (beta). At Strandstuviken, guests can also phone between 1 April and 31 August and ask the staff to heat the wood-fired sauna before they arrive. Plan sessions long enough to heat up and enjoy – often 2–3 hours – with a break after each booking. How heater control works · Sauna booking system
