Sauna booking system – Self-service sauna rental

Rentalbuddy is a booking system for self-service sauna rental – floating, mobile on a trailer or by a lake. Guests book and pay for a session online and get their own PIN code for an Igloohome key box by the door – the sauna key waits inside. The key box runs on batteries, with no power or Wi-Fi. One sauna with its key box is one lock on Starter: 299 SEK a month excl. VAT, with no commission. Bastuflotten Mariestad, Grebo Bastubåt and the sauna at Strandstuviken's seaside campsite are booked this way all year.

  • Free for 30 days – or until your sauna opens, up to 180 days
  • No credit card
  • Setup help included
  • No commission, cancel any time

How it works

How a self-service sauna works

Rentalbuddy's sauna booking software handles each booking, the payment and the key-box code, so sauna hire runs with nobody at the door. Starting from scratch? How to start a self-service sauna rental

  1. Guests book and pay for a session

On your booking page or website, by card, Apple Pay or Google Pay – plus Swish and Klarna if you switch them on. Firewood, towels or a longer session can be added as extras.

  2. Their own code opens the key box

The button in their confirmation email opens their unlock page, where the code appears 15 minutes before the start – it's never sent by email or text message. It opens the key box with the sauna key.

  3. They lock the key back in and confirm

When they leave, guests lock the key back in and confirm their return on their unlock page – with a photo of how they left the sauna, if you ask for one – so you can clean and restock on rounds that suit you.

Customer story · Bastuflotten Mariestad

A self-service floating sauna, open 15 hours a day with nobody on site

“We wanted to create something beautiful and accessible for everyone – without having to be there in person to handle every booking.” – the team behind Bastuflotten Mariestad

Bastuflotten Mariestad is a sauna raft near Mariestad's guest harbour on Lake Vänern in Sweden. It's open all year, every day from 7 in the morning to 10 at night. Guests book at least three hours for up to six people – 600 SEK for the sauna for three hours – and pay online. At the jetty, their own code opens the key box with the sauna key, and summer or winter nobody from Bastuflotten has to be there.

Customer story

A wood-fired sauna boat, booked without a phone call

Letting guests fetch their own firewood with their own code saves Grebo Bastubåt about 3 hours of work a week, Igloohome reports in its case study on two floating saunas run with Rentalbuddy.

  • “Before, we had to guess how much wood each guest would use and load it in advance, which limited how many could book and when. Now customers can manage everything themselves – from viewing schedules to booking times – without needing to contact us. It’s given freedom to both them and us.”

Wood-fired, electric, floating or mobile

At a campsite or hotel? Guests and day visitors book the same sauna: make the cabin or pitch number a required question, give your guests a promo code, or put the session on their bill at check-out. Saunas at campsites and hotels

  • Wood-fired

Guests light the stove themselves, so make sessions long enough to heat up and enjoy it – often 2–3 hours – with a break after each booking. A woodshed with its own Igloohome lock gives every booking its own code for the shed too.

  • Electric, with a Harvia heater

Rentalbuddy can start a Harvia heater on a Fenix control panel before each paid booking, so the sauna is warm when guests arrive (beta).

  • Floating or mobile

Fix the key box where waves and spray can't reach it, away from the stove pipe. It runs on batteries, so it needs no power or Wi-Fi out on the water or on a trailer. Moving a mobile sauna? Move your location's pin on the map.

Choosing a booking system for your sauna

  • No power at the door? Fine.

The key box runs on batteries – no 12–24 V wiring, no router, no Wi-Fi. It works on a raft, on a trailer or by a lake with no cable, as at Bastuflotten Mariestad and Grebo Bastubåt.

  • A fixed price that pays off as you get busy

Starter is 299 SEK a month with no commission, however many sessions you sell. At three 800 SEK sessions a week the plan is about 2.9% of what guests pay; at six, about 1.4%. A fee per payment stays the same share however busy you get.

  • The whole sauna by the session – and anything else you lock

Built for private sessions with nobody on site. The woodshed, kayaks or SUPs go on the same plan. Selling single seats all day at a staffed public sauna, or gift cards? A system made for public saunas fits that better.

FAQ

Questions about self-service sauna rental

How does it work with a wood-fired, electric, floating or mobile sauna?

All four work the same way at the door: each booking gets its own code for a key box that holds the sauna key. The key box runs on batteries, so it needs no power or Wi-Fi – on a raft, by a lake or on a trailer. What differs is how the sauna gets warm and what to sort out before you open.

Wood-fired: with nobody on site, guests light the stove themselves, so make the session long enough to heat up and enjoy it – often 2–3 hours – and add a break after each booking for the stove to burn down. A woodshed with its own Igloohome lock gives every booking at the location its own code for the shed, so it's simplest to count the wood in your session price. Or do as Grebo Bastubåt does: one key box on the woodshed holds the keys to both the shed and the sauna. Ask for a photo at return to see how each guest left the sauna, so you can clean and restock on rounds that suit you instead of after every booking.

Electric: Rentalbuddy can start a Harvia heater on a Fenix control panel before each paid booking (beta) – how heater control works . Heaters from other makers are started on site, or in the maker's own app.

Floating or mobile: see floating saunas  and mobile saunas .

What does a booking system for a self-service sauna cost?

With Rentalbuddy, one sauna with its key box is one lock – Starter, 299 SEK a month excl. VAT (248 SEK paid yearly), with no commission. A woodshed with its own lock counts as one more, still within Starter. On top come Igloohome's code fee of about 20 SEK a month per lock and Stripe's fee: about 14–27 SEK on an 800 SEK session paid by card, or 7 SEK by Swish. The key box is bought once – Igloohome's EU shop lists the Keybox 3 at €159 (October 2026). Rentalbuddy works wherever Stripe accepts businesses from your country, in your own currency; rental businesses use it in Sweden, Norway, Switzerland, Germany and the UK, and in the US and Canada.

Should I use Rentalbuddy or a booking system made only for saunas?

Rentalbuddy is built for saunas with nobody on site, rented out whole by the session: every booking gets its own code for a battery-powered key box, so there's nothing to wire, and you pay a fixed plan instead of a share of each booking. At an 800 SEK session, three bookings a week, the 299 SEK plan is about 2.9% of what guests pay, and the share falls as you get busier. Sauna-session systems such as Periode and Gibbs are built for selling seats in shared sessions, drop-ins, punch passes and gift cards. Some also give each booking its own code – Periode with Inlet or Lokalkontoret locks, Gibbs with a keypad lock on 12 or 24 V that needs Wi-Fi – and Periode charges a share of every payment instead of a monthly fee. Rental platforms such as TWICE charge a monthly fee per location plus 1.5% of each payment, and connect smart locks through an API without naming a lock maker. Rentalbuddy rents out the whole sauna by the session, and its key box runs on batteries with no wiring or Wi-Fi. Renting out a woodshed, kayaks or SUPs beside the sauna? They go on the same plan and the same booking page.

How Rentalbuddy compares with other booking systems

Can Rentalbuddy start the sauna heater before guests arrive?

Yes, with a Harvia heater on a Fenix control panel (beta). You need the panel on Wi-Fi and Harvia's MyHarvia Control subscription. By default, Rentalbuddy emails you a button before each paid booking; press it and the heater starts from wherever you are. Or switch on Automatic start, and Rentalbuddy starts it a set time before each paid booking (45 minutes unless you change it). It switches off when the booking ends, and guests see its status on their unlock page. Depending on how its door contact or safety switch is set up, a Fenix panel can block remote start after a session, so check with Harvia or your installer first. Heaters from other makers, such as HUUM, aren't connected.

What should I think about for a floating sauna or a sauna raft?

Fix the key box at the gangway or on the sauna's outside wall, where waves and spray can't reach the keypad, and keep the key to the sauna door in it, as Bastuflotten Mariestad does. Put the key on a floating keyring, and ask for a photo of the key back in the box when guests confirm their return, so you can see it's there before the next guests arrive. The key box runs on batteries, so you need no power or Wi-Fi out on the water. Add water-safety rules to the terms renters accept, as for any sauna by the water: no swimming alone, children only with an adult. Storm or strong wind forecast? Close that day in the admin and move or refund its bookings from your phone – their codes follow.

Still planning the raft? First agree the mooring with the marina or landowner, and ask whether the raft may stay in the water when the lake freezes. Jetty behind a locked gate? Ask the marina whether its gate key or tag can go in a second key box outside the gate: every booking gets its own code for that box too, and it counts as one more lock on your plan – the sauna and the gate are 2 locks, still Starter. Ask the municipality early whether the raft needs a building permit or a shoreline-protection exemption. Still choosing a raft or a sauna? Ask us – we can put you in touch with sauna builders we work with.

Can I rent out a mobile sauna or a hot tub on a trailer – parked, or towed away by customers?

Yes, both. Parked where guests come to it: fix the key box to the outside of the sauna, away from the stove pipe. It runs on batteries with no Wi-Fi or power, so it travels with the sauna. Keep a hitch lock on the trailer while it stands parked. Parking it by a lake for a whole season? Agree the spot with the landowner, and ask the municipality early whether it needs a building permit or a shoreline-protection exemption – a trailer that stays put for long can count as a building. Moving it? Move your location's pin on the map, and the Directions button in new confirmation emails leads guests to the new spot; tell guests who booked before the move where it now stands. It's still one location on your plan. What could it earn by the session?

Towed away by customers for a day or a weekend: run it like a rental trailer. The key box holds the keys to the hitch lock and the sauna door, so it's still one lock. Ask for the towing car's registration number when they book, put in your terms that the driver's licence covers car plus trailer, and sell firewood – or delivery and pick-up – as extras. What could it earn towed away?

A hot tub on a trailer works the same way: an Igloohome padlock on the hitch lock, or a key box with the keys to the hitch lock and the cover, so every booking gets its own code – one lock on Starter, 299 SEK a month excl. VAT, with no commission. Sell firewood, delivery and pick-up as extras, ask for the towing car's registration number, and leave a break after each booking for emptying and cleaning. Towed-away saunas and hot tubs often rent for 1,300–2,000 SEK a day in the Nordics (public price lists, October 2026).

A tent sauna or another portable sauna for hire? Keep it packed, with its stove, in a locked shed, garage or box: each booking's code opens the padlock on the door, customers collect it and bring it back, and you check it on rounds that suit you – one lock on your plan. Put pitching and stove rules in your terms and a short video before the code, and tell your insurer that customers set it up themselves.

Does the key box work in winter?

Yes, with fresh batteries and a sheltered spot. The Keybox 3 needs no power or Wi-Fi, is rated IP66 against dust and rain, and runs on four AAA batteries for up to 12 months – but Igloohome rates those batteries only down to −10 °C. For a winter sauna, fit fresh alkaline batteries before the cold sets in, check them more often and mount the box where snow can't bury the keypad; a key box with flat batteries can be jump-started over USB-C. Ask guests to brush off any frost before they type the code. Often colder than −10 °C where you are? Talk to us before you buy locks.

Can guests book per person, like at a public sauna?

At a self-service sauna with nobody on site, rent out the whole sauna by the session – Bastuflotten Mariestad, for example, charges 600 SEK for three hours for up to six people. Hosted sessions, such as a guided sauna evening, can take a price per person, with adult, child or member prices.

Is it safe to let guests heat a wood-fired sauna on their own?

Plan for it the way you would for any sauna with nobody on site. Put your sauna rules – lighting the stove, the damper, water, leaving the sauna – in the confirmation email, and if you like in a short video guests must watch before their code appears. Add an age limit to your terms, fit a smoke and a carbon monoxide alarm in the changing room, keep a fire blanket or extinguisher by the door, and tell your insurer that guests heat the sauna themselves.

Can I sell gift vouchers or season passes for the sauna?

Gift vouchers work through a promo code, season passes as a membership. For a voucher, take payment your own way – by Swish or in your web shop – and give the buyer a promo code for a fixed amount that works once; whoever gets it types it in when they book, and if the booking costs less, the rest isn't saved. For regulars, sell a membership in your booking window: paid once, it takes a set percentage off every session they book with the same email address, for the months you choose. There are no punch cards, session packs or unlimited passes.

I build or sell saunas. Can I deliver them ready to rent out?

Yes. Fit an Igloohome key box by the door before delivery – no wiring, no Wi-Fi – and your buyer pairs it in the Igloohome app, signs up and takes bookings. Their questions about bookings, payments and codes come to us, not you: setup help and support are included in their plan. Building electric saunas? With a Harvia heater on a Fenix control panel, Rentalbuddy can start the heat before each booking (beta) – check what remote start needs .

Put your buyer's price and what the sauna costs into the calculator and send them the link: it shows what the sauna could leave them and when it's paid back. Want to look after your buyers' booking systems for them? With a partner account your team works in the accounts you look after, and we can help you put a package together. And when someone asks us where to get a sauna, we put them in touch with builders we work with – Bastuspa in Södertälje, for one, sells sauna trailers, sauna rafts and fixed saunas ready to rent out with Rentalbuddy, and offers to finance the sauna and the booking system through its credit partner (bastuspa.se, October 2026).
